What to Do With an Unmatched Bank Transaction

Investigate an unmatched statement row using amount, date, description and available evidence without forcing a category.

Generic bank statement rows matched to expense records and receipts with clear status indicators

An unmatched bank transaction is a statement line that has not yet been connected to a reliable Business record. It is an exception to investigate, not permission to guess a category.

Preserve the statement facts

Record or retain the bank-provided date, description, amount, currency and account. Do not rewrite the description before the source is understood.

Confirm the statement belongs to the selected Business and period. A wrong-account import can make every line appear unmatched.

Search existing records first

Before creating anything new, search for:

  • expense with a nearby purchase date;
  • customer invoice payment;
  • supplier refund or reversal;
  • owner contribution or repayment;
  • transfer in another Business account;
  • recurring transaction;
  • transaction entered offline or by another team member.

Use bank statement matching to connect the line to an existing record. This helps prevent duplicate expenses and income.

Gather evidence

Review receipts, invoices, payment confirmations, Business email and authorized supplier portals. Ask the person who made the purchase when appropriate.

A statement line proves money moved but may not explain the business purpose, taxes or items purchased. Use receipt capture to attach the correct source document once found.

Assign a clear exception status

If the transaction cannot yet be identified, record:

1. account and statement period;

2. date, amount and currency;

3. searches already completed;

4. available evidence;

5. responsible person;

6. next action and review date.

Do not label the transaction “miscellaneous” merely to clear the queue.

Handle personal or wrong-Business activity transparently

If evidence shows the transaction is personal or belongs to another Business, preserve what happened and use the approved correction workflow. Do not attach another Business's private document or silently move ownership fields.

The appropriate owner, contribution, repayment or inter-Business treatment may require an accountant.

Escalate material or recurring exceptions

Prioritize large amounts, repeated unknown suppliers, possible fraud, tax-sensitive items and transactions approaching a reporting deadline. Contact the financial institution promptly when a transaction may be unauthorized, following its official channel.

Carry unresolved items into monthly review rather than marking the account complete.

The CRA says income and expense entries should be supported by original documents and businesses should keep bank statements and other transaction evidence. See Business records and Keeping Records.

Frequently asked questions

Should I create an expense from every unmatched debit?

No. A debit could be a transfer, owner draw, loan payment or duplicate. Identify the source first.

Can I delete a line I cannot explain?

Do not delete the statement evidence. Keep it unmatched with a documented investigation and next step.

What if the receipt amount differs slightly?

Check taxes, tips, foreign exchange, partial refunds and fees. Do not force a match without evidence.

Does SilaTrail automatically categorize unmatched transactions?

No. SilaTrail helps organize matching evidence, but the authorized user must confirm the record and seek professional advice where needed.
