How to Move an Expense Recorded Under the Wrong Business
Correct a cross-Business recording error while preserving evidence, ownership boundaries and a clear reason for the change.

Treat a wrong-Business expense as a controlled correction, not a quick relabel. Confirm the correct destination, preserve the original evidence, record why the correction is needed and verify that the expense affects only the intended Business when you finish.
SilaTrail helps organize the correction trail. It does not decide which entity owns a cost, whether it is deductible or how it should be reported.
Stop before changing the record
First confirm the error using the receipt or invoice, payment source, purchaser, business purpose and service period. A familiar supplier or employee name is not enough. If ownership is unclear, leave the item open for the owner or accountant rather than moving it based on a guess.
Also verify that you are authorized to access the destination Business. Membership in the original Business does not grant permission to view or modify another workspace.
Preserve the source and history
Keep the original document readable and note:
- the original Business;
- the intended Business;
- the reason for correction;
- who confirmed the destination; and
- the date the correction was made.
Use the product’s supported correction or re-entry workflow. Do not silently delete the original and recreate a similar expense without a trail. If a new destination record is required, make the relationship clear and ensure the original no longer contributes to active totals.
Check related records
An expense can be connected to more than a receipt. Review:
1. bank or card matches;
2. owner-paid status and repayment balance;
3. receipt or private Storage attachment;
4. category and tax fields;
5. month-end exceptions; and
6. exports or accountant requests already created.
A safe correction updates or resolves each relationship within its authorized Business. It must not expose the attachment to users who lack destination access.
Verify both sides
After the correction, review the original Business and confirm the expense is no longer active there. Then review the destination and confirm the amount, date, evidence and payer are correct. Search for another copy before closing the issue so the same invoice is not counted twice.
The CRA says records should support income and expense claims and that separate records should be kept for each business. Electronic systems should retain an audit trail from source documents to summarized accounts.
Frequently asked questions
Can I just change the Business selector?
Only if the application’s supported workflow safely updates the record, related files and audit history. A label-only change can leave attachments or reconciliations behind.
What if the destination Business is not visible to me?
Do not bypass the boundary or send the private receipt through an unsecured channel. Ask an authorized owner or administrator to handle the correction.
Should I delete the mistaken record?
Prefer a traceable correction that preserves history. Deletion may remove evidence needed to explain the change; follow the product’s documented workflow and retention rules.
