Canadian Small-Business Expense Tracking Template and Monthly Checklist

Use this practical expense-tracking structure to capture receipts, payment sources, business purpose, tax details and monthly review status.

Organized expense spreadsheet, categorized receipts, calendar and monthly review checklist on a desk

A good expense template does more than total purchases. It preserves the facts behind each transaction and makes missing information visible before year-end.

Use the structure below in a spreadsheet or when configuring an expense-tracking app.

Recommended expense columns

| Field | What to record |

| --- | --- |

| Business | Legal business responsible for the expense |

| Expense date | Date on the receipt or invoice |

| Supplier | Merchant or service provider |

| Description | What was purchased |

| Business purpose | Why the cost relates to the business |

| Category | Working expense category |

| Subtotal | Amount before tax when available |

| Tax | GST, HST, PST or QST shown |

| Total | Full transaction amount |

| Currency | CAD, USD or another currency |

| Payment source | Business bank, card, personal card or cash |

| Receipt status | Attached, missing, unreadable or requested |

| Bank match | Matched, unmatched or needs review |

| Notes | Facts needed to explain the transaction |

| Review status | Ready, incomplete or ask accountant |

The template organizes facts. It does not determine deductibility or accounting treatment.

Add a receipt reference

Store the receipt in a protected location and place its document ID or secure link in the row. Do not put publicly accessible receipt URLs in a shared spreadsheet.

Use a consistent filename, such as business, date, supplier and amount. Avoid unnecessary personal information.

Track the payment source accurately

A business expense paid with a personal card should not be rewritten as though the business bank account paid it. Record the actual source and discuss the appropriate repayment treatment with your accountant.

Likewise, keep a personal purchase made with a business card visible for review.

Use statuses instead of blanks

Blank cells are easy to overlook. Use explicit statuses:

  • Attached
  • Missing
  • Requested
  • Unreadable
  • Needs explanation
  • Ready for review

This turns the template into a working queue rather than a passive archive.

Monthly checklist

Capture

  • Add paper and electronic receipts.
  • Check supplier, date, amount and currency.
  • Confirm the correct business.
  • Add a short purpose note where needed.

Reconcile

  • Review bank and card transactions.
  • Match transactions to expense records.
  • Investigate duplicates, refunds and differences.
  • Keep uncertain matches unresolved.

Complete related records

  • Review personally paid expenses.
  • Complete mileage records.
  • Record contractor bills and payments.
  • Check recurring costs.
  • Follow up on missing documents.

Prepare for review

  • Confirm the reporting period.
  • Identify known gaps.
  • Generate a business-specific summary.
  • Invite your accountant or prepare an export.
  • Retain supporting documents.

Spreadsheet or automated workflow?

A spreadsheet is flexible and familiar. It can work for a small number of monthly transactions. As volume grows, receipt files live elsewhere, duplicates become harder to spot and multiple businesses can become mixed.

An expense platform can connect the row, receipt, bank match and follow-up status while applying access controls.

A safe migration

1. Choose a clean start date.

2. Create each business separately.

3. Import only fields you understand.

4. Preserve the original spreadsheet.

5. Do not guess missing business assignments.

6. Reconcile opening records.

7. Test an export for your accountant.
